Reports: Generate a headcount report

Learn how to build a report to show a full headcount including assigned profile template, permission group, and contract type.

Who it's for: Administrators and users with the relevant reporting permissions

Before you begin, make sure you’ve:

☑️ Logged into the Sense HR web app

☑️ Been assigned administrator permissions (or relevant reporting permissions for your access role)


Overview

A Headcount report gives administrators a clear view of the organisation’s workforce at a given time. By including details such as profile templates, permission groups, and contract types, it helps HR monitor workforce composition, check data accuracy, and support planning for staffing, compliance, and reporting needs.

This article will show administrators how to customise the ‘Profile Information’ report builder to create a Headcount report.


Navigation path

Dashboard > Reports > Profile information


Steps to create a Headcount report

Navigate to Profile Information reports

  1. Open Reports from the left-hand navigation menu.

  2. Select Profile information.

  3. Click Create.


Choose fields for a headcount report

  1. In the People section, select the following fields:
    • Profile template
    • Permission group

  2. In the Employment details section, select the following field:
    • Contract type (Employment details)


View and refine results

  1. Click Next to load your results.

  2. To filter the report so future starters and leavers are not included, use the filter () in the Status (People) column and choose Active and Future leaver, then Apply.

  3. (Optional) Use Manage fields to refine your report by adding fields or removing fields


Save your report

  1. Click Report details

  2. Enter a Report name, (optional) Report description, and (optional) AMI prompt for analysis.

  3. Close the Report details dialog

  4. You can either:
    • Click Save changes and then click Back to save as a draft
    • Click Save changes and then click Publish to finalise the report
    Changes to report details are not saved until you click Save changes

🖊️ Note: Analyse with AMI is available on Elite and Enterprise plans only.


Use your report

  1. You can now:
    Export the report as a CSV
    Create charts to visualise the data
    Analyse with AMI for insights (Elite and Enterprise only)
