Reports: Generate a report for tracking holiday entitlements

Learn how to build a report to track FTE, holiday groups, effective dates, and entitlements in your organisation.

Before you begin, make sure you’ve:

☑️ Been assigned administrator permissions (or relevant reporting permissions for your access role)


Overview

A Holiday Entitlement report gives administrators a complete view of how leave and working time are managed across the organisation. With fields such as FTE, holiday groups, effective dates, and entitlements, it’s easier to confirm entitlements are applied correctly, track changes, and ensure consistency across employees and groups. Having this data in one report also supports auditing, compliance, and workforce planning.

This guide shows administrators how to use the Profile Information report builder to create a report focused on holiday entitlement.

Dashboard > Reports > Profile information


Steps to create a holiday entitlement report

Navigate to Profile Information reports

  1. Open Reports from the left-hand navigation menu.

  2. Select Profile information.

  3. Click Create.


Choose fields for a holiday entitlement report

  1. Scroll down to Planner configuration

  2. Select the following fields:
    • FTE
    • Public holiday group
    • Public holiday group effective date
    • Entitlement include public holidays?
    • Auto book public holidays?
    • Holiday year, and
    • Holiday year effective date


View and refine results

  1. Click Next to load your results.

  2. (Optional) Use Manage fields to refine your report by adding fields or removing fields

  3. (Optional) Use filters to further refine your report


Save your report

  1. Click Report details

  2. Enter a Report name, (optional) Report description, and (optional) AMI prompt for analysis.

  3. Close the Report details dialog

  4. You can either:
    • Click Save changes and then click Back to save as a draft
    • Click Save changes and then click Publish to finalise the report
    Changes to Report details and filters are not saved until you click Save changes

🖊️ Note: Analyse with AMI is available on Elite and Enterprise plans only.


Use your report

You can now:

  • Export the report as a CSV

  • Create charts to visualise the data

  • Analyse with AMI for insights (Elite and Enterprise only)
