Planner: Filter events and attendance

Filter the events and attendance records shown in an employee’s profile Planner.

Before you begin

☑️ Planner filters only change which records are displayed. They don’t change the underlying events or attendance records.

☑️ You can only see records that your Access Role allows you to view.

🖊️ Note: Planner filters are different from company Calendar filters. A profile Planner is already scoped to one employee, so there are no People filters or saved Views.

To filter information across multiple people in company Calendar, see:


Filter a profile Planner

  1. Go to People > [select profile] > Planner.

  2. Click Filters.

  3. Under Planner events, select the Event categories you want to show:
    • Working
    • Time off
    • Sickness

  4. Under Events, choose:
    • All events to show all events within the selected categories.
    • Select specific events to choose individual events to show.

  5. Under Attendance, turn Show attendance records ON or OFF.

  6. Click Apply.

The Planner updates to show records that match your filters.

💡 Tip: If Attendance creates a lot of regular records in the Planner, turn Show attendance records OFF to make occasional or irregular events easier to find. You can turn Attendance back on whenever you need it.

Filter by Event category and Event

You can use Event categories and Events together to narrow the records shown.

Event categories let you filter broadly by Working, Time off or Sickness.

To narrow the results further, choose Select specific events, then select the individual Events you want to show.

For example, to focus on Holiday records, select Time off, then select Holiday as the specific Event.


Filter Attendance records

Under Attendance, use Show attendance records to control whether Attendance records are included in the Planner.

Turn it OFF when you want to focus on Planner events without Attendance records.


Use filters in Calendar and List views

The filters you apply to a profile Planner are used in both the Calendar and List views.

You can switch between Calendar and List without applying the filters again.


Move between employee Planners

Planner filters remain applied when you use the previous and next profile arrows at the top of the employee profile to move directly between employees.

For example, if you filter Amelia’s Planner to show only Time off events, then use the arrows to move to Fred’s profile, Fred’s Planner shows the same filter.

🖊️ Note: The filters are only retained when you move between profiles using these arrows. If you return to People, open another employee’s profile and then open their Planner, the previous Planner filters aren’t retained.

Use the arrows to move between employee profiles while keeping the same Planner filters.


Reset Planner filters

To remove your filters:

  1. Click Filters.

  2. Click Reset all.

  3. Click Apply.

The Planner returns to showing the records available to you without the previous filters.

Q: Why can’t I see the People filters in an employee’s profile Planner?

A: A profile Planner is already showing one employee, so Planner filters don’t include People options. To filter records across multiple people, use the filters in company Calendar.


Q: What is the difference between Event categories and Events in Planner filters?

A: Event categories provide a broad filter for Working, Time off and Sickness. Events let you narrow the results to individual Events, such as Holiday or Training.

You can use both together. For example, select Time off as the Event category and Holiday as the specific Event to focus on Holiday records.


Q: Do Planner filters apply to both Calendar and List views?

A: Yes. Planner filters apply to both the Calendar and List views in an employee’s profile Planner. Your filters remain applied when you switch between the two views.


Q: Why are my Planner filters still applied when I move to another employee using the profile arrows?

A: Planner filters remain applied when you use the previous and next profile arrows to move directly between employees. This lets you review the same type of information across several employees without setting the filters again.

If you return to People and open another employee’s profile instead, the previous Planner filters aren’t retained.


Q: Why can’t I see an event in an employee’s Planner after applying filters?

A: An event may be hidden because it doesn’t match the active Planner filters. Check the selected Event categories and Events, or use Reset all to remove the filters.

Filters don’t give you access to additional records. Your Access Role still determines what you can view.


Q: How do I show or hide Attendance records in an employee’s Planner?

A: To show or hide Attendance records in an employee’s profile Planner, click Filters and turn Show attendance records ON or OFF, then click Apply.


Q: Can I save Planner filters as a View?

A: No. You can’t save profile Planner filters as a View. Saved Views are available in company Calendar.
