Calendar: Filter people, event categories, event types and attendance

Use Calendar filters to focus on the people, events and attendance records you need, without changing your permissions or affecting other users.

Overview

Calendar filters help you reduce the amount of information shown on screen so you can focus on the people and events that matter to you.

You can filter by:

  • people

  • event categories

  • event types

  • attendance records

The same filters work across the People, Calendar and List layouts.

🖊️ Note:

Filters only affect your current Calendar view.

They:

  • do not change your access permissions

  • do not affect other users

  • do not change Calendar events

  • can be saved as part of a personal saved view

Filter the Calendar view

To open Calendar filters:

  1. Go to HR Dashboard > Calendar.

  2. Select Filters.

The filter panel contains three sections:

  • People

  • Planner events

  • Attendance

Filter people

Use People filters to decide whose events appear in the Calendar.

You can:

  • search for people

  • exclude people

  • show only people with activity

These filters work only within the people your access role already allows you to see.


Search people

Use Search people to include specific people or organisational groups.

Depending on your access role and your organisation’s structure, you may be able to search for:

  • individual employees

  • teams

  • departments

  • locations

  • job titles

  • employment types

  • managers

  • direct reports

  • indirect reports

As you select items, they appear beneath the search box.

You can include multiple people or groups in the same filter.

Exclude people

Use Exclude people to remove specific people or groups from your current results.

For example, you might:

  • show everyone in Operations except managers

  • show your team except contractors

  • show all managers except one department

Included and excluded filters work together to refine the Calendar.


Only show people with activity

Turn on Only show people with activity to hide people who have no matching events in the current Calendar view.

For example, if you are viewing:

  • Time off

  • Annual Leave

  • This week

then only people with matching Annual Leave events during that period remain visible.

People without matching activity are hidden until the option is turned off or filter removed.

Filter Planner events

Planner event filters let you choose which events appear in the Calendar.

There are two ways to include events:

  • Event categories

  • Specific event types

You can use either method on its own or combine them.


Event categories

Every event in Sense HR belongs to one of three system event categories:

  • Working

  • Time off

  • Sickness

Selecting an event category displays all event types within that category.

For example, selecting Time off displays all Time off event types, such as Annual Leave, Unpaid Leave and Jury Service.

You can select any combination of the three event categories, or leave them all unselected if you only want to display specific event types.

Specific event types

If you only want to see particular events, rather than every event within a category, deselect all event categories and choose individual event types instead.

Click Select specific event types, then choose one or more event types from the list.

Specific event types are included even if their event category is not selected.

For example:

  • no event categories selected

  • Meeting selected as a specific event type

The Calendar displays Meeting events only.

Or:

  • Time off category selected

  • Meeting selected as a specific event type

The Calendar displays:

  • all Time off events, and

  • Meeting events

This allows you to combine complete categories with individual event types from other categories.

Show attendance records

Use the Show attendance records switch to include or hide attendance events within the Calendar.

When turned on, attendance records appear alongside other Calendar events where your access role allows you to view attendance.

When turned off, attendance records are hidden from the current Calendar view.

🖊️ Note:

This filter only controls whether attendance records are displayed.

It does not affect attendance data itself or your permission to view attendance.


Apply filters

After selecting your filters:

  1. Review your selections.

  2. Select Apply.

✅ The Calendar updates immediately using the selected filters.

When filters are active, the Filters button displays the number of active filters applied to the current view.

Clear filters

After filters have been applied, Clear filters appears above the Calendar view.

Selecting Clear filters immediately removes all active filters and returns the Calendar to the default base view.

Unlike Reset all in the filter panel, Clear filters immediately removes the active filters from the Calendar without reopening the filter panel.

How planner event filters work

Planner event filters include events in two different ways:

Filter

Result

Event category

Includes every event within that category.

Specific event type

Includes the selected event types, regardless of category.

Event categories and specific event types can be used independently or together.

The following examples show how the Calendar behaves:

Selected filters

Calendar shows

Time off selected

All Time off events

Meeting (all event categories deselected)

Meeting events only

Time off + Meeting selected

All Time off events and Meeting events


Filters and saved views

If you regularly use the same combination of filters, you can save them as a personal saved view.

Personal saved views can remember:

  • included people

  • excluded people

  • event categories

  • event types

  • attendance display

  • Calendar date mode

Filters and permissions

Calendar filters never increase what you are allowed to see.

Your access role still determines:

  • which people you can access

  • which event types are available

  • whether sickness details are visible

  • whether attendance can be viewed

For example:

  • Filtering for another department does not reveal employees outside your access

  • Selecting the Sickness category does not display sickness if your role cannot view it

  • Turning on attendance does not display attendance without the appropriate permission

Calendar filters help you focus on the people and events relevant to your current task.

Remember:

  • Filters affect only your own Calendar view

  • Filters work across People, Calendar and List layouts

  • Every event belongs to one of three event categories:
    Working
    Time off
    Sickness

  • You can show all event types or select specific event types

  • Attendance records can be shown or hidden independently

  • Only show people with activity hides people without matching events

  • Filters never override your access permissions

  • Commonly used filters can be saved as personal views

If you regularly use the same filter combination, save it as a personal view instead of recreating it each time.


FAQs

Q: What is the difference between an event category and an event type?

A: The difference between an event category and an event type is that every event belongs to one of three system event categories—Working, Time off or Sickness—while individual event types, such as Annual Leave or Working from home, belong within one of those categories.


Q: Why can’t I find a particular event type?

A: You may not be able to find a particular event type because your access role does not allow you to view that event type or because it isn’t included in the current filter configuration.


Q: Why can I see an event from a category I did not select?

A: You may see an event from a category you did not select because a specific event type from that category has also been selected.

Specific event types are added alongside the events included through the selected event categories.


Q: Why can’t I see someone after turning on Only show people with activity?

A: You may not be able to see someone after turning on Only show people with activity because they do not have any events that match the current filters and displayed period.

Turn the option off to show everyone again.


Q: Why can’t I see attendance records?

A: You may not be able to see attendance records because Show attendance records is turned off or because your access role does not include permission to view attendance.


Q: Do Calendar filters affect other users?

A: Calendar filters do not affect other users.

Filters only change your own Calendar view unless you save them as one of your own personal saved views.


Q: Do Calendar filters change my permissions?

A: Calendar filters do not change your permissions.

Filters only reduce the information already available through your assigned access role.


Q: What happens when I select Clear filters?

A: Selecting Clear filters immediately removes all active filters from the Calendar and returns it to the currently selected base view.

Unlike Reset all in the filter panel, Clear filters takes effect immediately and does not require you to select Apply.


Q: What happens when I select Reset all in the filter panel?

A: Selecting Reset all removes all currently applied Calendar filters and returns the filter panel to its default state.

It does not delete any personal saved views.
