Calendar & Planner: Edit or cancel a booked event

Change or cancel an event that has already been added to Planner and company Calendar.

Before you begin:

☑️ The events you can edit or cancel depend on your permissions and how your organisation has configured the event.

☑️ If you’re changing an event for someone else, you must have permission to access their Planner and make the required change.

☑️ If you can see an event but can’t edit or cancel it, contact your system administrator. They can check your Access Role permissions and the applicable Event Manager rule.

Open a booked event

You can open a booked event from the person’s profile Planner or company Calendar.

  1. Find the event you want to change.

  2. Click the event to open its details card.

The event details show information about the booking and the actions available to you.


Edit a booked event

If you have permission to edit the event:

  1. Open the booked event.

  2. Click Edit .

  3. Update the booking details as required.

  4. Check the updated duration and booking information.

  5. Click Add to save changes.

The updated event is shown in the person’s profile Planner and company Calendar.

🖊️ Note: When you edit an existing booking, Sense HR recalculates it using the employee’s current working and calculation settings where applicable. This means an older booking can have a different calculated duration after it is edited.

Cancel a booked event

To remove an event that is no longer required:

  1. Open the booked event.

  2. Click Delete .

  3. Confirm that you want to delete the event.

The event is removed from the person’s profile Planner and company Calendar.

⚠️ Important: Deleting a booked event can’t be undone. If the event was deleted by mistake, it must be booked again.


Understand edit and delete permissions

Being able to view an event doesn’t necessarily mean you can edit or delete it.

For most users, Sense HR checks both:

  • your Access Role permissions

  • the Event Manager rule that applies to the person the event is booked for

Your Access Role determines whether you have the required Planner action for the person. The Event Manager rule determines whether that particular event can be edited or deleted.

Both must permit the action.

📖 Example: Susan is a manager and wants to edit Fred’s Holiday booking. Her Access Role gives her access to Fred and permission to update events in his Planner. The Event Manager rule for Holiday that applies to Fred also has Allow edit turned ON. Susan can therefore edit Fred’s Holiday booking.

If either Susan’s Access Role or Fred’s applicable Holiday rule doesn’t allow editing, Susan may still be able to view the event, but she can’t edit it.

The same principle applies to deleting an event: Susan needs the required Planner permission and Fred’s applicable Holiday rule must have Allow delete turned ON.

🖊️ Note: Administrators aren’t restricted by the event-level Allow edit and Allow delete settings in Event Manager.

Edit or delete a past event

Additional Access Role permissions control whether users can change events that are already in the past.

To edit a past event, your Access Role must allow you to:

  • update Planner events

  • edit past events

To delete a past event, your Access Role must allow you to:

  • delete Planner events

  • delete past events

The applicable Event Manager rule must also allow the requested action.

🖊️ Note: Administrators aren’t restricted by Allow edit or Allow delete in Event Manager.


What happens to entitlement when I edit or delete an event?

If an entitlement-based Time-off event is edited, Sense HR recalculates the booking and updates the entitlement used by the event.

If an entitlement-based Time-off event is deleted, the entitlement used by that booking is returned to the employee’s available balance.

Q: How do I change a holiday booking in Sense HR?

A: To change a Holiday booking in Sense HR, find the Holiday in the person’s profile Planner or company Calendar and click it to open the booking. Click Edit , make the required changes and save the booking.

If Edit isn’t available, your permissions or the applicable Holiday rule may not allow you to edit the booking.


Q: How do I cancel a holiday in Sense HR?

A: To cancel a Holiday in Sense HR, find the Holiday in the person’s profile Planner or company Calendar and click it to open the booking. Click Delete , then confirm that you want to delete it.

If Delete isn’t available, your permissions or the applicable Holiday rule may not allow you to delete the booking.


Q: Why can I see a booked event but not edit it?

A: You can see a booked event without being able to edit it because viewing and updating Planner events are controlled separately. Your Access Role must allow you to update events for that person, and the applicable Event Manager rule must have Allow edit turned ON. Both must permit the change.


Q: Why can I edit an event but not delete it?

A: Editing and deleting a booked event are separate permissions. Your Access Role and the applicable Event Manager rule must allow the action you’re trying to perform. For example, an event rule can have Allow edit turned ON while Allow delete is turned OFF.


Q: Why can I edit a future event but not a past event?

A: Editing past Planner events requires an additional Access Role permission. You may therefore have permission to update future events but not events that are already in the past. The applicable Event Manager rule must also allow editing.


Q: Why can I delete a future event but not a past event?

A: Deleting past Planner events requires an additional Access Role permission. You may therefore be able to delete future events but not events that are already in the past. The applicable Event Manager rule must also allow deletion.


Q: What happens to Holiday entitlement if I cancel a Holiday booking?

A: When an entitlement-based Holiday booking is deleted, the entitlement used by that booking is returned to the employee’s available Holiday balance.


Q: Can I recover an event after I delete it?

A: No. A deleted Planner event can’t be restored. If an event was deleted by mistake, book the event again.
