Set organisation defaults and configure general Calendar & Planner settings for working hours, sickness and employee Planners.

Before you begin

☑️ Make sure you have an Administrator access role, or an Access Role with permission to manage Features > Settings > Calendar & Planner – General.

☑️ Changes made in General settings can affect Planner setup, working-time and entitlement calculations, or the features available to employees. Check what a setting controls before changing it.


About Calendar & Planner General Settings

General settings contains organisation-level defaults and settings used across Calendar & Planner.

You can:

  • set defaults that make initial employee Planner setup quicker

  • define the full-time working week used for FTE and holiday entitlement calculations

  • set the standard number of hours in a working day when scheduled daily hours cannot be used

  • configure your absence scheme

  • show sickness patterns in employee Planners

  • allow employees to notify their manager when they are sick

Set defaults for new employee Planners

The following organisation defaults prepopulate Planner settings when a new employee’s Planner is set up:

  • Holiday year

  • Working hours

  • Public holiday group

Choose the settings that apply to most employees to make Planner setup quicker. They can be changed for an individual employee during setup or later if required.

🖊️ Note: Changing Holiday year, Working hours, and Public holiday group defaults doesn’t update Planner settings for employees who have already been set up. The new defaults are used when setting up employee Planners going forward. Update an existing employee’s Planner settings separately if required.

Set Full time working hours

Full time working hours defines the number of hours in your organisation’s standard full-time working week. Sense HR uses this value when calculating FTE and holiday entitlement.

For example, if your organisation considers 37.5 hours to be a full-time week, enter 37.50.

The organisation setting provides the default, but Full time hours can also be set for an individual employee in People > [select profile] > Planner > Settings.

Set Standard working day (Hours)

Standard working day (Hours) defines how many hours Sense HR should treat as one working day when it can’t determine the day’s hours from the employee’s Working Hours schedule.

Sense HR normally uses the employee’s scheduled hours for the date. However, there may be no scheduled daily hours to use. For example:

  • the employee’s Working Hours configuration records their contracted hours but doesn’t specify a daily work schedule

  • an event is booked on a day the employee isn’t normally scheduled to work, where the event allows booking outside working hours

In these cases, Standard working day (Hours) provides the hours Sense HR can use when it needs to convert between days and hours or calculate an equivalent duration.

For example, if Standard working day (Hours) is 7.50, one day is treated as 7 hours 30 minutes when the Standard working day is required for the calculation.

An employee profile can use the organisation default or have an employee specific Standard working day set through their Working Hours schedule at People > [select profile] > Planner > Settings > Working hours schedule.

🖊️ Note: You can’t currently override Standard working day during initial Planner setup. Complete the employee’s Planner setup first, then update their Working Hours schedule if they need a different value.


Full time working hours and Standard working day

These settings have different purposes:

  • Full time working hours answers: How many hours make up a full-time working week?

    It is used for FTE and holiday entitlement calculations.

  • Standard working day (Hours) answers: How many hours should Sense HR use for one day when there are no scheduled daily hours to use?

    It provides a fallback daily duration for calculations that need to convert between days and hours.


Configure an absence scheme

Expand Absence scheme to configure how sickness absence is measured and what action is required when an employee reaches a trigger point.

Show sickness patterns in employee Planners

Turn ON Personal planner heatmap to highlight the days of the week on which an employee has most often been sick over the previous 12 months.

The heatmap helps authorised users identify patterns when reviewing sickness information in an employee’s Planner.


Allow employees to notify sickness from Dashboard

Turn ON Dashboard sickness widget to allow employees to notify their manager that they are sick using the Dashboard widget.

The widget notifies an authorised user that the employee is sick. An authorised user then reviews the notification and records the Sickness event in Planner.

The Sickness event can also be configured in Event Manager to allow employees to book their own Sickness events directly.

💡 Tip: Use either Sickness Self-booking or the Dashboard sickness widget for the same group of employees rather than enabling both. The two options provide different sickness-reporting processes.


FAQs

Q: Do the organisation defaults in Calendar & Planner > General have to apply to every employee?

A: No. The organisation defaults in Calendar & Planner > General don’t have to apply to every employee. Holiday year, Working hours, Public holiday group, and Full time working hours prepopulate the employee’s initial Planner setup, where you can change them if needed. You can also change these later for an individual employee in their Planner settings.

Standard working day (Hours) works slightly differently. You can set an employee-specific value in their Working Hours schedule after their Planner has been set up.


Q: What is the difference between Full time working hours and Standard working day (Hours) in Calendar & Planner General settings?

A: Full time working hours defines the organisation’s standard full-time working week and is used for FTE and holiday entitlement calculations.

Standard working day (Hours) provides the number of hours to use for one working day when there are no scheduled hours for that day. For example, this can happen when an employee’s Working Hours configuration doesn’t specify a daily schedule, or when an event is booked on a day they aren’t normally scheduled to work.


Q: When does Sense HR use Standard working day (Hours)?

A: Sense HR normally uses an employee’s scheduled hours to work out the length of their working day. Standard working day (Hours) provides the daily hours when there are no scheduled hours to use — for example, if their Working Hours configuration doesn’t include a daily schedule, or an event is booked on a day they don’t normally work.

If an employee has their own Standard working day (Hours) set in Planner, this overrides the organisation default.


Q: Does changing the organisation Standard working day (Hours) recalculate existing Planner bookings?

A: No. If an employee is using the organisation Standard working day (Hours), changing the default doesn’t recalculate their existing Planner bookings. The new value is used for new bookings and when an existing booking is edited.

If the employee has their own Standard working day (Hours) set in Planner Settings, this overrides the organisation default, so changing the organisation default doesn’t affect their calculations.


Q: Does turning on the Dashboard sickness widget allow employees to add their own Sickness events?

A: No. Turning on the Dashboard sickness widget allows employees to notify sickness. The notification must then be reviewed and the Sickness event recorded by an authorised user. Allowing employees to create their own Sickness events directly is controlled separately by Self-booking in the applicable Sickness rule in Event Manager.


Q: What happens if both Sickness self-booking and the Dashboard sickness widget are turned off?

A: If both Sickness Self-booking and the Dashboard sickness widget are unavailable to an employee, sickness recording is centralised. A manager or HR administrator records the Sickness event on the employee’s behalf.
