Calendar & Planner: Implementing an absence scheme (Admin)

Before you begin, make sure you’re:

☑️ Assigned administrator permissions


This article explains how to set up an absence scheme tailored to your organisation’s approach to tracking employee absence. You can choose an absence scheme scale and define trigger points for action.

By implementing an absence scheme, you can generate individual absence data and gain insights into trends across teams, departments, and the wider organisation, all while the system automatically accounts for varied working patterns, split shifts, part days, and leavers.


Navigation path

Sense HR Dashboard > Settings > Calendar & Planner > General > Absence scheme

Navigate to absence scheme settings

  1. Open Settings from the left-hand navigation menu.

  2. Select Calendar & Planner.

  3. Click General to open the General settings page.

  4. Scroll down to the Absence Scheme section.


Select an absence scheme scale

1. Click the dropdown arrow to open the Absence Scheme menu.

2. Choose one of the three available scales:

- Bradford Factor

- Number of Absence Instances

- Total Days Absent

3. Select the scale that best suits your organisation's approach to tracking absence.


Define trigger values and actions

Based on the selected scale, the system will suggest:

- Trigger values (e.g. number of days or instances)

- Corresponding actions to be taken when triggers are reached

You can:

- Edit a trigger or action by clicking the edit icon (pencil)

- Delete both a trigger and its action by clicking the delete icon (×), then confirming


Save and apply changes

  1. Click Next in the upper-right corner.

  2. Select an effective date for the change.

  3. Optionally, enter a reason for the update.

  4. Click Save to confirm your Absence Scheme settings.
