Planner: View absence scheme metrics in a user’s profile (Admin)

Learn how to access and interpret the absence scheme metrics displayed in a user’s profile.

Before you begin, make sure you’re:

☑️ Logged into the Sense Workplace web app

☑️ Assigned administrator permissions

☑️ Have an absence scheme implemented in the Sense Workplace application


This article guides administrators through finding and understanding the three absence scheme metrics – absence summary, absence heatmap, and Bradford Factor – shown in individual user profiles after an absence scheme has been implemented.


Navigation Path

Sense HR Dashboard > People List > [User Profile] > Planner

Navigate to absence scheme metrics

1. Open the People list from the left-hand navigation menu.

2. Select the user profile that you want to review.

3. In the user profile, click Planner from the left-hand menu.

4. If an absence scheme is active, three absence measures will appear at the top of the Planner:

- Absence Summary

- Absence Heatmap

- Bradford Factor

5. You can use the dropdown arrow to choose a view for 3, 6, 9, or 12 months, for each measure.


Understanding the absence metrics

Absence Summary

Displays an overview of the user’s absence history, including:

- Total days off

- Absence rate

- Scheduled working days

This gives a quick snapshot of how frequently the employee is absent and why.

Absence Heatmap

A visual view of absence patterns over time.

Helps identify trends such as:

- Frequent absences on specific weekdays

- Seasonal peaks in absence

Useful for HR planning and addressing recurring issues.

Bradford Factor

A scoring method that highlights short, frequent absences.

The score is calculated using:

- Number of absence instances

- Duration of each instance

A higher score may indicate potential attendance concerns that HR should review.
