People: Set up planner settings for a new employee (Admin)

Configure working hours, public holidays, and entitlement when setting up an employee’s planner

Before you begin

Make sure you:

☑️ Have administrator permissions (or relevant permissions for your access role)

☑️ Know the employee’s working arrangement

☑️ Know how public holidays should be handled for this employee

Sense HR Dashboard > People > [Select profile] > Planner > Settings


Overview

When you open an employee’s Planner settings for the first time, you’ll complete a one-time Planner setup.

This establishes how the system manages:

  • Working hours

  • Public holidays

  • Holiday year

  • Entitlement

These values are pre-populated from your company’s Calendar & Planner General settings, but can be adjusted for the individual.

Once saved, these settings define how the employee’s planner behaves and can be updated later using:

  • Working hours schedule (for future changes)

  • Entitlement (for balance adjustments and event types)


Steps to set up planner

Step 1. Open Planner setup

  1. Select the employee’s profile

  2. Click Planner in the left navigation menu

  3. Click Settings in the upper right to open Planner setup

🖊️ Note: If company defaults have been configured in HR Dashboard > Settings > Calendar & Planner > General, they will pre-populate the Planner setup fields.

Review the pre-populated values in the Planner setup window and confirm they’re correct for this employee before saving.


Step 2. Set working hours and effective date

  1. Review the Start date (set during employee creation, not editable)

  2. Select the Effective date for the Working hours

  3. Choose the applicable Working hours configuration

The system will automatically populate:

  • Contracted hours (read-only, from Working hours)

  • Full time hours (editable, defaults from company settings)

View working hours details (optional)

  • Click View working hours details to see a read-only summary of the selected configuration.

Step 3. Configure public holidays

  1. Select a Public holiday group

  2. Choose whether public holidays are included in entitlement
    If Yes, an additional option appears:
    • Automatically book public holidays that land on a working day?
    • If Yes public holidays are automatically booked in the Planner

View public holidays (optional)

  • Click View public holidays to see a read-only summary of holiday dates for the selected region.

Step 4. Select holiday year

  1. Choose the Holiday year (e.g. Jan–Dec)


Step 5. Review and adjust entitlement

  1. Review This year and Next year tabs.

  2. For each year and entitlement event:
    • Review Measured in (Days or Hours) and adjust if needed
    • Review the Duration and adjust if needed
    🖊️ Note: Hover over the Info icon to view the calculation for each duration

    • Add Notes for the entitlement event, if needed

New or additional entitlement event types can be managed later.

Step 6. Save planner settings

  1. (Optional) Add any Notes for the Planner Setup

  2. Click Save

This applies:

  • Working hours

  • Public holidays

  • Entitlement


What changes after setup

After saving the Planner setup:

  • ... Planner > Settings becomes a dropdown:
    Working hours schedule
    Entitlement settings

  • The profile Overview shows:
    • Working status (including location)
    • Next working shift (including location)

    🖊️ Note: The location helps teams account for availability and time zones when planning.
