Overview

A new Event Document Collection workflow is now available in Workflow Hub.

The workflow automates the collection of supporting paperwork for selected Planner events. When a configured event is added to an employee’s Planner, Sense creates a document request and asks the employee to upload the relevant supporting documents.

This can be useful for events such as appointments or other absences where supporting paperwork needs to be collected.


What’s new

Automatically request documents for selected events

Administrators can choose which Planner event types should trigger a document request.

When a matching event is booked, Sense automatically:

  • Creates a document record against the employee’s Sense HR profile in the Event Documents screen.
    🖊️ Note: The Event Documents screen is created automatically when the workflow is deployed.

  • Records the relevant event type and dates.

  • Creates a task asking the employee to provide their supporting documents.

  • Sends the employee an email notification.

What this means for you:

Supporting paperwork can be requested consistently without HR or managers needing to create individual document requests manually.


Simple document upload for employees

The employee receives a task explaining which event the document request relates to.

When they open it, the event information is already provided and locked. The employee only needs to add the requested supporting files.

What this means for you:

Employees have a clear request linked to the relevant event, while the original event details remain unchanged.


Configure event types and deadlines

Administrators can configure:

  • Event Types — choose which Planner event types should trigger document collection.

  • Task Due Date — choose how many days the employee has to provide the documents, calculated from the date the event is booked.

What this means for you:

Document collection can be targeted to the events that require evidence, with a consistent timeframe for employees to provide it.

When a configured event is booked, Sense creates the document record, assigns the employee a task, sends a notification and provides a clear place for them to upload the required paperwork.
