Whether you’re collecting information, guiding someone through a business process, requesting approvals, or delivering an interactive experience, Forms provides a consistent way for people to engage with your organisation’s business functions.

Each experience can bring together information, automation, approvals, features, and capabilities from across the Sense Workplace ecosystem, while presenting users with a single, focused experience that’s tailored to the task they’re completing.

Forms transforms business functions into business experiences.


What is Forms?

Forms is a product within the Sense Workplace platform for building and delivering interactive business experiences.

Unlike a traditional online form, a Forms experience can guide someone through an entire process—from capturing information and validating responses to requesting approvals, updating records, generating documents, and interacting with other parts of the platform.

The person completing the experience sees a single guided journey, while Forms coordinates the interaction with the wider Sense Workplace ecosystem.

A Forms session might be:

  • a questionnaire

  • a survey or poll

  • a business request

  • a weekly timesheet

  • an onboarding journey

  • an approval process

  • a document acknowledgement

  • a live, interactive presentation

  • an app-like experience

  • a prototype for a new business process

Each experience is designed around the business function it supports, so no two Forms sessions need to look or behave the same.

Working with the Sense Workplace ecosystem

Forms brings together capabilities from across the Sense Workplace platform to create connected business experiences.

Exactly which products are involved depends on the business function being delivered.

An individual experience may interact with products such as:

Display employee information, capture updates, and create or update records across multiple areas of the platform as part of a single experience.

Sense Mobile

Deliver Forms experiences and micro apps on mobile devices, allowing people to complete tasks wherever they are.

Sense Presence

Bring together location awareness, tasks, environmental information, and workplace activity as part of an interactive experience.

Sense ATS

Support recruitment and hiring experiences, such as candidate applications, approvals, and onboarding journeys.

Sense AI (AMI)

Analyse information, provide assistance, generate insights, or support decision-making during an experience.

Sense Portal

Support administration of the Sense Workplace ecosystem, including product access, user management, security, billing, and other platform administration tasks.

Sense Automate

Power Forms experiences with workflow logic, approvals, notifications, integrations, scheduled processes, and business rules where required.

Not every Forms experience uses every product. Depending on the business function being delivered, Forms can bring together one or many parts of the Sense Workplace platform into a single, connected experience.


Forms sessions

Every task completed in Forms is called a session.

A session is a live Forms experience created for a person or group of people. It exists for the duration of the task, while the information it captures can be used or stored elsewhere across the Sense Workplace platform.

For example, a session might be:

  • Complete a Weekly Timesheet

  • Buy or Sell Holidays

  • Complete an employee survey

  • Complete an onboarding journey

  • Participate in a live, interactive, collaborative workshop or brainstorming session

Depending on the experience, users may be able to:

  • complete it immediately

  • save their progress and return later

  • submit it for approval

  • receive updates as it progresses


Access Forms

Users access Forms from the Product Switcher.

To open Forms:

  1. Click the Product Switcher.

  2. Click Forms.

  3. Click Inbox.

The Inbox displays the Forms sessions currently assigned to that user.

Some experiences may also be opened directly from an invitation email or notification.


Current Forms Experiences

Today, many Forms experiences are delivered through configurable workflows installed from the Sense Automate Workflow Hub.

These experiences combine Forms with workflow logic, business rules, approvals, and integrations to deliver complete business processes.

Current examples include:

  • Weekly Timesheet

  • Buy/Sell Holidays

  • Poll Surveys

As additional experiences become available, they’ll appear in Forms alongside existing sessions, providing users with a familiar and consistent experience.
