Overview
Sense Mobile gives employees, managers, and administrators secure access to key Sense Workplace features from a mobile device.
It is designed for people who need to access workplace information on the go, especially employees who do not regularly use a laptop or PC. This may include deskless, frontline, field-based, shift-based, or mobile-only employees.
From Sense Mobile, users can complete everyday tasks such as viewing their profile, reading documents, completing To Dos, booking events, viewing shifts, clocking in or out, and accessing company news, depending on the mini apps enabled for your organisation.
Sense Mobile uses the same profile data and access permissions as Sense HR. This means users only see the information and features they have permission to access.
The Sense Mobile home screen displays the mini apps available to you.
Why use Sense Mobile?
Sense Mobile helps organisations make key HR tasks accessible to employees wherever they work.
It can be used to:
give employees quick access to HR information from their phone
support mobile-only and deskless workers
reduce reliance on laptop or PC access
allow users to complete tasks, approvals, and acknowledgements while away from a computer
support mobile clock in/out and attendance processes
share documents, company news, and updates with employees
help managers respond to requests and approvals on the go
Getting access to Sense Mobile
Users log in to Sense Mobile using their registered email address and a verification code.
There are two main routes to first-time Sense Mobile access.
Standard Sense HR registration
Users who need Sense HR web access should complete standard Sense HR registration from a laptop or PC.
Once registration is complete, an administrator or user with relevant permissions can use Send verification code to give them Sense Mobile access.
Mobile Onboarding
For users who only need Sense Mobile, or who cannot complete standard Sense HR web registration using a laptop or PC, the Mobile Onboarding workflow provides an alternative route.
Mobile Onboarding registers the user in the background and sends them a verification code for the Sense Workplace mobile app.

Use the Sense Workplace mobile app for mobile access
For mobile access, use the dedicated Sense Workplace mobile app. Sense HR and other Sense Workplace web products are designed for use on a laptop or PC and should not be accessed through a mobile browser.

🖊️ Note: This is particularly important for users onboarded through Mobile Onboarding. These users are automatically registered for Sense HR in the background and should use their Verification code in the Sense Workplace app. They should not try to log in to Sense HR through a mobile browser.

Core Sense Mobile mini apps
The mini apps available in Sense Mobile depend on the user’s permissions and your organisation’s setup.
Core Sense Mobile functionality includes:
My Profile
View and update personal or employment information, depending on access permissions.
Users can also update their profile photo from the app.To Do
View, create, and complete To Dos from a mobile device.
To Dos may include tasks created manually or generated by system workflows, such as approval requests, document acknowledgements, or event requests.Managers and administrators may also receive approval To Dos, depending on their permissions.
Events
Book and view events such as holidays, absences, or other company events.
Depending on access permissions, users may be able to:• book an event for themselves
• view their entitlements• view their own events
• view team events
• book events for someone else

Documents
View personal and company documents from the mobile app.
Depending on the document type and permissions, users may also be able to read, acknowledge, or sign documents.Settings
Manage mobile app settings, including:
• biometric authentication

Optional and configurable mini apps
Additional mini apps may be available through Sense Support or the Automate Workflow Hub, depending on your organisation’s plan, configuration, and enabled workflows.

Some optional mini apps are installed and deployed through Sense Automate Library workflows.
Enterprise customers may also be able to create custom mobile-first functionality using Sense Automate.
If you cannot see a mini app you expected, this may be because:
your access role does not include it
your organisation has not enabled it
your organisation’s plan does not include the feature
a related workflow has not been installed or deployed
Manager and administrator access
Managers and administrators may have additional options in Sense Mobile, depending on their access role and the functionality being used.
For example, they may be able to:
approve or decline requests from To Do
view team events
book events for other people
perform team-related actions
view profiles for people they have permission to access
Sense Mobile uses Sense HR access permissions where applicable, so access may vary between organisations and between individual mini apps.
Security and login protection
Users do not need to log out of Sense Mobile after everyday use.
Once logged in, users can verify their identity using their PIN or biometric authentication when they reopen the app.
For everyday use, close the app rather than logging out.
If a user logs out, they will need a new verification code before they can log back in. This applies whether they first accessed Sense Mobile after standard Sense HR registration or through Mobile Onboarding.

Push notifications
Sense Mobile can use push notifications to alert users when action is needed.
Notifications may be used for:
new To Dos
documents to read or sign
approval requests
submitted request updates
expense-related actions, if Expenses is included in your mobile setup.
Push notifications are controlled by the user’s device settings. If notifications are disabled at device level, Sense Mobile cannot send alerts even if the user has pending actions.
Users who rely on Sense Mobile for approvals or other time-sensitive actions may find it useful to keep push notifications enabled.
Location settings
Some Sense Mobile functionality may require location permissions.
Biometric authentication
Allows users to use Face ID, fingerprint recognition, or another supported biometric method to access the app securely.
Location tracking using Bluetooth Low Energy
This may be used with Sense Presence hardware for proximity-based location or attendance functionality.
Location tracking using GPS
This may be required for functionality such as mobile clock in/out, attendance verification, or location-dependent workflows.
Users should enable location services required by their organisation.
Basic troubleshooting
Issue | What to do |
User cannot log in with their verification code | Ask an administrator or user with relevant permissions to send a new verification code. |
App asks for a verification code again | If the user has logged out, send a new verification code and complete mobile login again. |
User cannot see an expected mini app | Check their access permissions, organisation setup, plan, and any related workflow. |
Events are not available to book | Check the relevant Event Manager rules in Sense HR and user access. |
Push notifications are not received | Check that notifications are enabled for Sense Workplace in the device settings. |
App is not updating | Check the internet connection and reopen the app. |
