Overview
Product access level settings in Sense Portal are used to manage product-level configuration that sits above individual users.
This area is separate from Team Access, but it can affect what users assigned to each access level are able to see or do.
Use:
Team Access to decide which users can access each product with their Sense Workplace login credentials, open it from the Product Switcher, and, where available, which access level they have.
Settings > Products to configure what supported product access levels can do.
Not every product has configurable settings in Portal.
Some products currently use simple ON/OFF access in Team Access. Other products may include access levels that can be configured in Portal > Settings > Product.

Team Access vs Product settings
Team Access and Product settings work together, but they do different jobs.
Team Access
Use Team Access to manage product access for individual users.
This includes:
turning product access ON or OFF
selecting an access level where the product supports access levels
deciding which products a user can open from the Product Switcher
Product settings
Use Settings > Products to configure the access levels or product-level settings supported by each product.
This may include defining what a particular access level can see or do inside a product.
Example:
In Team Access, you assign a user an ATS access level.
In Settings > Products, you configure what that ATS access level is allowed to do.
Why some products have more options than others
Product settings vary by product.
Some products only use ON/OFF access in Team Access.
Other products support configurable access levels because they include different roles, workflows, or permission groups.
As more Sense products support access levels, more product-specific settings may become available in this area.

Sense HR access roles
Sense HR uses its own granular Access roles feature for HR permissions.
Portal controls whether a user can open Sense HR from the Product Switcher.
Sense HR Access roles control what the user can see and do inside Sense HR.
Detailed HR permissions are configured in:
Sense HR > Settings > Access roles
Access roles control areas such as screen visibility, field-level permissions, reports, and profile data access.

Open and configure product access levels
Open Sense Portal.
Select Settings from the left-hand menu.
Select Products.
Select the product you want to review or configure.
Configure the available settings according to your organisation’s requirements.
Click Save changes.
✅ The product settings are updated.
🖊️ Note: The available settings depend on the product selected and your organisation’s licensed products. Some products may not have configurable access level settings.
Important guidance
Before changing product settings, consider:
which users are assigned to the related access levels
whether the change affects sensitive data
whether the change affects workflows, approvals, or operational processes
whether the change should be tested with a small group first
⚠️ Caution: Changes to product access settings affects multiple users assigned to the same access level.
Basic Troubleshooting
I cannot see a product in Product settings
Check that the product is included in your organisation’s licensed products.
Some products may appear in Team Access but not have configurable settings in Settings > Products.
A user has the wrong access
Check both areas:
Team Access — confirm the user has access to the product and the correct access level, where applicable.
Settings > Products — confirm the access level or product setting is configured correctly, where applicable.
A product does not have configurable access levels
Not all products currently support configurable access levels.
If a product does not have configurable access levels, access is managed through Team Access only.
I need to configure Sense HR permissions
Sense HR permissions are configured in Sense HR > Settings > Access roles, not in Portal > Settings > Products.
This includes granular HR access and permissions that affect HR embedded AMI agents.
Portal controls whether a user can access Sense HR and AMI. Sense HR Access roles control what HR data the user, and HR embedded AMI agents acting for that user, can access.
Summary
Product access level settings are managed in Sense Portal > Settings > Products.
Use Team Access to assign product access to users.
Use Settings > Products to configure supported product access levels or product-level access settings.
Product settings vary by product and may expand as more Sense products add access-levels
