Who it's for: ATS users who publish vacancies to Indeed
Platform: Sense ATS and Indeed
Available on: Elite and Enterprise plans, or Professional plan with ATS add-on
Original notice
⚠️ Beta release: Indeed publishing is currently in beta. You can prepare your vacancies using this guidance now. Vacancies will begin appearing on Indeed once the beta rollout is complete.
Current status
✅ Now live: Indeed publishing officially came out of Beta on 3rd November 2026. Eligible vacancies can now be published directly to Indeed from Sense ATS.
🖊️ Note: This article provides general guidance based on Indeed's published recommendations. Indeed sets its own posting policies, eligibility requirements and job visibility rules, and these can change independently of Sense ATS. For the latest requirements, always refer to Indeed's official guidance, linked throughout this article.
Sense ATS helps you prepare vacancies for Indeed using structured fields for key information such as location, job type and salary. It checks that vacancies meet the integration’s publishing requirements before automatically sending them to Indeed.
From there, Indeed reviews each job and decides whether, where and how prominently it appears. While Sense ATS can’t influence those decisions, using its vacancy fields correctly and following Indeed’s guidance gives your jobs the best chance of being accepted and seen by jobseekers.
👉 To set up and use the integration itself, see ATS: Set up the Indeed integration for your organisation and ATS: Publish vacancies to Indeed.
How Indeed handles your vacancies
When a vacancy meets the publishing requirements in ATS, Sense ATS sends it to Indeed automatically. What happens next is decided by Indeed.
Sense ATS | Indeed |
Checks the vacancy meets the ATS publishing requirements | Reviews the job against its own policies and quality standards |
Sends the vacancy, updates and removals to Indeed | Decides whether the job is shown, and how prominently |
Shows the Indeed status for each vacancy | Decides whether a job receives free (organic) visibility or must be sponsored |
Receives Indeed Apply applications back into ATS | Ranks jobs in search results differently for each jobseeker |
Indeed states that it may reject or remove jobs at any time and for any reason to protect jobseekers and maintain platform quality. This means a vacancy can be sent successfully from ATS and still not appear in Indeed's search results.
🖊️ Note: An Active status in ATS means Indeed has accepted the vacancy. It doesn't confirm that the vacancy is publicly visible in Indeed's search results, and ATS isn't notified if Indeed later hides, rejects or removes it.
Before you start: your Indeed account
A few things on the Indeed side can affect every vacancy you publish, so it's worth checking them first.
Verify your Indeed employer account
Indeed may require account verification before jobs can go live, and an account under review may have reduced visibility. Sign in to your Indeed employer account and complete any verification requests.
Publish each job from one source only
Indeed's job posting integrity and duplicates policy says each real job should appear on Indeed only once. If the same role also reaches Indeed another way, Indeed may treat one version as a duplicate and hide it or require it to be sponsored.
Once you start publishing from Sense ATS, check whether your organisation also:
posts the same jobs directly in its Indeed employer account
sends jobs to Indeed through another recruitment system, job feed or agency.
If so, decide which source Indeed should use for each job and close the other version. Your Indeed representative can help you plan the move.
🖊️ Note: Indeed's Single-Source Feed Policy asks employers whose recruitment system integrates with Indeed to post through that integration rather than a separate job feed.
Keep your Source name and company details consistent
Your Source name links Sense ATS to your organisation on Indeed. If you already publish to Indeed from another source, use the same Source name rather than requesting a new one.
Best practice for your vacancy fields
The fields you complete in ATS are what Indeed reviews. The table below links each field to the relevant Indeed guidance.
ATS field | What Indeed's guidance says | Practical tip in ATS |
Vacancy name | Use the real job title only. Avoid location, pay, shifts, emojis, symbols and clickbait. See Job posting quality standards. | ✅ Supported Housing Worker ❌ Supported Housing Worker – Bath – Part Time!! |
Vacancy advert | Write a clear, accurate description of the role, including its responsibilities, requirements and benefits. Use natural language, avoid excessive capitalisation and repeated keywords, and make the content easy to read. | Use the dedicated ATS fields for information such as salary, location, Job type and working schedule. Use the Vacancy advert to explain the role in more detail. Pasted images aren’t sent to Indeed, so include important information as text. |
Location | Post to the most specific, accurate location possible. Don't post a job to locations where the work isn't based. See Job Posting Location Policy. | Check each location has the correct Country, and a City for On-site and Hybrid vacancies. Add Street and Postcode where you can. |
Workplace type | Remote and hybrid jobs still need a location. See Posting a remote job. | Choose the option that matches how the role really works. Use Hybrid rather than Remote if staff are expected on site. |
Job type | Describes the type of employment to jobseekers. | Always select a Job type, including on older vacancies. |
Salary | Pay is one of the details Indeed asks employers to include. | Use structured salary so pay is sent to Indeed as salary data. |
Screening questions | Don't ask for unnecessary personal information, such as full date of birth, National Insurance number, driving licence number or bank details. See Maintaining user safety on Indeed. | Collect these details later in the hiring process, for example after an offer. |
💡 Tip: Use Copy vacancy link in ATS to review the vacancy as an applicant would before you publish it.
👉 For how each field is sent to Indeed, see ATS: Publish vacancies to Indeed.
Avoid duplicate and reposted vacancies
Indeed's job posting integrity and duplicates policy asks employers to update an existing job rather than post it again. A job that looks like a copy of an existing or recent job may be hidden, shown lower in results, or require sponsorship. Indeed says repeated issues can affect free visibility across the whole account.
In ATS, this mostly comes down to choosing the right action:
If you want to… | Do this in ATS | Why |
Change the advert, pay or details of a live role | Edit the vacancy | ATS sends the update to the existing Indeed listing, so no new job is created. |
Recruit for a genuinely new role or location | Copy the vacancy, then update the details | Each real vacancy should appear once. A new location or role is a separate job. |
Refresh a role that hasn't had enough applicants | Edit the existing vacancy rather than closing and copying it | Closing and recreating the same role can look like a repost. |
Bring back a role after it has closed | Consider Reopen rather than a new copy | Indeed only expects a job to be posted again if the role has closed and later reopens. Indeed may still flag a reopened job. |
🖊️ Note: Indeed doesn't publish a set waiting time before a closed role can be posted again, and its duplicate checks can change. If a reopened or recreated vacancy is flagged, contact Indeed directly.
💡 Tip: If a role is available in several locations, Indeed allows one listing per genuine work location. Create one vacancy per location rather than listing several towns in one vacancy.
Sponsored jobs
The Sense ATS integration publishes vacancies to Indeed for free (organic) visibility. You can't sponsor a job from Sense ATS.
Sponsorship is arranged in your Indeed employer account. Once a vacancy has been published from ATS, you can choose to sponsor it in Indeed. Applications still arrive in ATS, and the Source label shows whether an application came from an Organic or Sponsored listing.
Indeed may require sponsorship before some jobs are shown. Based on Indeed's published policies, this can include:
jobs that Indeed treats as duplicates or reposts
jobs that don't meet Indeed's quality standards
jobs posted by staffing, recruitment and placement firms, which Indeed's third-party recruiters policy says must be sponsored in most markets.
🖊️ Note: Whether a job needs sponsoring, and how much it costs, is decided by Indeed. For questions about sponsorship, budgets or billing, contact Indeed.
If a vacancy isn't showing on Indeed
Start with the Indeed status in ATS. It tells you whether the vacancy has left ATS, and so where to look next.
Go to ATS > Vacancies and check the vacancy's Indeed status.
Use the table below to find the likely next step.
Indeed status in ATS | What it means | Next step |
Not posted | The vacancy hasn't met the ATS publishing requirements. | Check it is Open, Approved, not marked as Internal, has Sync with Indeed selected and has a valid location. |
Pending | ATS has sent the vacancy and is waiting for Indeed. | Allow 1–2 hours before investigating. |
Failed | Indeed didn't accept the vacancy from ATS. | Contact Sense Workplace Support. The failure reason is recorded but not yet shown in ATS. |
Active | Indeed has accepted the vacancy. It may take time to appear in Indeed's public search results. | Click View on Indeed in the vacancy's Details tab to check the job in your Indeed employer account, then follow the checks below. |
Expiring or Expired | The vacancy is being, or has been, removed from Indeed. | Check whether the vacancy has been closed, changed to Draft, or had Sync with Indeed switched off. |
When the status is Active
If ATS shows Active but you can't find the vacancy, Indeed may still be processing it, or may have limited its visibility. Indeed's guide Why you can't find your vacancy on Indeed suggests:
Don't search for your own job. Indeed personalises search results, so your search may not show it even when it is live.
Check your Company Page or Jobs tab in your Indeed employer account instead.
Check your account for verification requests, reviews or messages from Indeed.
Look for messages about quality, duplicates or sponsorship on the job in your Indeed account.
🖊️ Note: ATS isn't notified if Indeed later hides, rejects or removes a vacancy, so the Indeed status can still show Active. Your Indeed employer account shows the job's current status on Indeed.
💡 Tip: The View on Indeed link opens the job in your Indeed employer account, so you'll need to sign in to Indeed. It isn't the public job page.
If Indeed has hidden the vacancy or asked you to sponsor it, review the guidance in this article, edit the vacancy in ATS if needed, and contact Indeed if you think the decision is wrong.

FAQs
Q: My vacancy shows as Active in ATS, so why can't I find it on Indeed?
A: Active means Indeed has accepted the vacancy, not that it's publicly visible. It can take time to appear, and Indeed personalises search results and decides how prominently each job is shown. ATS also isn't notified if Indeed later hides or removes a job. Check the job in your Indeed employer account rather than searching. If Indeed has hidden the job or asked you to sponsor it, contact Indeed.
Q: Can Sense Workplace Support ask Indeed to review my job?
A: Indeed handles visibility and policy questions directly with employers, so the request needs to come from your organisation. We're happy to confirm what ATS sent and when, which you can share with Indeed.
Q: Can I sponsor a vacancy from Sense ATS?
A: No, you cannot currently sponsor a vacancy from ATS. Sponsorship is arranged in your Indeed employer account after the vacancy has been published from ATS. Sponsored applications still arrive in ATS.
Q: Indeed says my job is a duplicate. What should I do?
A: Check whether the same role is also posted directly on Indeed or through another system, and close the extra version. In future, edit live vacancies in ATS rather than closing and copying them. If you believe the job isn't a duplicate, contact Indeed.
Q: Will following this guidance guarantee my vacancy appears on Indeed?
A: No, following this guidance does not guarantee that your vacancy will appear publicly on Indeed. Indeed makes the final decision about which vacancies are published and how visible they are in search results.
Sense ATS makes it easier to meet Indeed’s publishing requirements by providing structured fields for key vacancy information, such as job type, salary and location. It also checks that vacancies meet the integration’s requirements before sending them to Indeed.
Using these fields correctly, alongside Indeed’s best-practice recommendations, gives your vacancies the best chance of being accepted and seen by jobseekers.
