Who it’s for: All users
Platform: Sense HR
Available on: All plans
Before you begin
Make sure you’ve:
☑️ Logged in
☑️ Opened the Company Calendar
☑️ Understood that the Company Calendar displays the same events in different layouts
Overview
The Company Calendar lets you display the same Calendar information in three different layouts:
People
Calendar
List
🖊️ Note:
The Calendar and List layouts are also available in a person’s Planner (People > [select profile] > Planner or Manage profile > Planner). The People layout is only available in the Company Calendar because a Planner displays events for a single person.
Each layout presents the same underlying events differently, helping you complete different tasks more efficiently.
Changing layout does not:
change your permissions
change the selected Calendar view filter
remove your current filters
It only changes how the information is displayed.
🖊️ Note:
The events available in each layout always depend on your selected Calendar view, any active filters and your access role permissions.
Navigation path
HR Dashboard > Calendar
Company Calendar showing the People, Calendar and List layout tabs.
Switch between layouts
To change layout:
Go to HR Dashboard > Calendar.
Select one of the available layouts:
• People
• Calendar
• List
✅ The Calendar immediately changes to the selected layout.
Any selected Calendar view and any active filters remain applied.
Navigate through time
Each layout lets you move forwards or backwards through time using the navigation controls above the Calendar.
To navigate:
Choose from the available date modes for the selected layout.
Select the Previous or Next arrows to move through the available time periods.
Select Today to return to the current date.
The available date modes differ between layouts:
Layout | Available date modes |
People | Week, Month |
Calendar | Month, Year |
List | Week, Month, Year |
Changing the date mode changes how much of the Calendar is displayed, but does not change:
the selected Calendar view
active filters
your permissions
People layout
The People layout organises events by person.
Each row represents one person, while the timeline shows their events across the selected period.
Use the People layout when you want to:
compare several people
review team availability
identify overlapping leave
check department or manager coverage
locate someone before opening their Planner
It is usually the best layout for operational planning.
Because the People layout compares multiple people at the same time, it is only available in the Company Calendar.
Open a person’s Planner from the People layout
From the People layout, you can quickly open a person’s Planner.
To open it:
Locate the required person.
Click their name.
✅ Their profile opens to the Planner, where you can review their events in more detail and, depending on your permissions, perform additional actions.
🖊️ Note:
When you return to the Company Calendar, your selected System or Saved view remains applied. Temporary filter changes that were not saved as part of that view are not retained.

When People layout is most useful
Use the People layout when you need to answer questions such as:
Who is on leave next week?
Which managers are unavailable?
Do we have enough cover?
Which members of my team are working?
Calendar layout
The Calendar layout organises events by date.
Instead of grouping events by person, it displays them within a traditional calendar.
Use the Calendar layout when you want to:
review events across a week, month or year
identify busy or quiet periods
see how events are distributed over time
spot patterns in planned activity
understand what is happening on a particular date
Calendar layout displaying events in the monthly calendar.
When Calendar layout is most useful
Use the Calendar layout when you need to answer questions such as:
What is happening this month?
Which days are busiest?
When is the next available date?
How is activity spread across the month?
Which dates have the highest number of events?
List layout
The List layout displays Calendar events as individual records in chronological order.
Rather than presenting events on a timeline or calendar grid, it groups them by date, making it easier to review event information.
Use the List layout when you want to:
review event details
scan upcoming events
find a particular event
identify events by status
access event actions
List layout displaying Calendar events grouped by date.
Review an event
From the List layout you can quickly review an event without searching through a calendar.
Each record shows information such as:
event type
employee
event date
duration
current status
Depending on the event type and your permissions, additional actions may be available from the More actions (...) menu.
🖊️ Note:
The actions available for an event depend on:
your access role
the event type
the event’s current status
any approval workflow associated with the event
When List layout is most useful
Use the List layout when you need to answer questions such as:
What events are coming up?
Which holiday requests are still pending?
Which events require my attention?
Which employee is linked to this event?
What happened on a particular day?
Choosing the right layout
If you want to… | Best layout |
Compare several people | People |
Review team availability | People |
Check cover across a week or month | People |
Plan by date | Calendar |
Review activity over time | Calendar |
Identify busy or quiet periods | Calendar |
Review event details | List |
Find a particular event | List |
Review pending or approved events | List |
Layouts work with views and filters
The three layouts display the same Calendar information in different ways.
When you switch layouts, your:
selected Calendar view
active filters
permissions
remain unchanged.
For example, if you:
select the My Team view
filter for Time off
switch between People, Calendar and List
the same filtered events remain visible in each layout.
💡 Tip:
If you regularly use the same Calendar view and filters, save them as a personal view instead of recreating them each time.
