Assigning Custom Action Workflows

This article explains the steps for assigning custom action workflows and how to track the progress of any workflow instances

This article explains the step-by-step process for assigning your custom action

workflows to trigger for specific employees. Additionally this article explains how to

track the progress of any workflow instances once they have been assigned and

triggered:


Step 1 – Go to the People area in the main left hand menu.



Step 2 – In the people list, tick the box on the left next to the name/names you wish to select to deploy the workflow to.



Step 3 – Once you have selected at least one person, you can see the banner along the bottom of the screen appear with all the custom action workflow buttons you can click to launch to these selected people.



Step 4 – Click the button for the custom action you wish to launch, these are labelled by the custom action they trigger e.g. Start performance cycle will launch the ‘Performance cycle’ workflow for this specific system.



Tracking the workflow progress

To check the status of the workflow for each user follow these steps.

Step 1 – Click on the Sense logo in the top left corner to open the ‘Switcher’ menu.



Step 2 – Click the option ‘Sense Automate’.

This will take you to the following screen.



Step 3 – Click on the workflow that you wish to view the current activity for.



Step 4 – You will then see the following screen with all of the activity instances listed and their current statuses.



Here you can see the instance name, start date, completed date, total duration and status for each instance of the workflow that has taken place.

Step 5 - You can investigate this further by clicking on the three-dot menu on the righthand side.



Once open, select ‘History’ or ‘Stop’ (you will only see the stop option for instances that are still executing).



Step 6 – Click ‘History’ to view the detailed breakdown of each step of the workflow and all outcomes.
