Before you begin

Make sure you:

☑️ Have the required permissions to view employee calendar and attendance data

☑️ Understand what data you want to analyse (for example, a team, department, or time period)

☑️ Are familiar with how attendance, schedules, and time off are recorded in your system


Overview

The HR Calendar agent is an AMI agent designed to help you analyse calendar-based HR data.

It allows you to explore attendance, time off, and working patterns across your organisation without manually reviewing individual records.

The agent works entirely with existing system data and provides insights based on:

  • calendar events (e.g. holidays, sickness, working days)

  • attendance records (clock-in/out, hours worked)

  • schedules and work patterns

  • anomalies and irregular activity

This makes it especially useful for identifying trends, monitoring compliance, and investigating attendance-related issues.


What the HR Calendar agent can do

The HR Calendar agent can:

  • analyse attendance and working hours

  • report on holidays, sickness, and other time off

  • identify anomalies (e.g. missing clock-ins, unusual patterns)

  • highlight early or late attendance

  • review work patterns and schedules

  • provide summaries and insights for teams, departments, or time periods


What the HR Calendar agent does not do

The HR Calendar agent does not:

  • create or update calendar events

  • modify attendance or employee records

  • trigger workflows or assign tasks

  • require file uploads to function

It is designed for analysis and insight only, not for making changes in the system.


Access the HR Calendar agent

From the AMI workspace:

  1. Open the Product Switcher (upper left)

  2. Select AMI

  3. Click the Agent selection icon

  4. Select HrCalendar

  5. Click Save changes


Optional shortcut (Sense HR module):

You can also access the agent via:

HR Dashboard → Calendar → AMI icon

This opens the AMI workspace with the HR Calendar agent pre-selected.


Use the HR Calendar agent

Step 1: Describe what you want to analyse

In the AMI message box, describe:

  • who you want to analyse (e.g. team, department, location, individual)

  • what you want to review (e.g. attendance, absence, anomalies)

  • the time period (if relevant)

Examples

  • “Show me sickness and absence trends for the warehouse team over the last 3 months.”

  • “Who has the most late clock-ins this month?”

  • “Identify any attendance anomalies in the sales department last week.”

  • “Summarise working patterns for part-time employees.”


Step 2: Review the results

The HR Calendar agent will:

  • analyse the relevant data

  • return a summary, breakdown, or insight

  • highlight patterns, trends, or anomalies

Review the output carefully and refine your prompt if needed.


Step 3: Refine or explore further

You can continue the conversation to:

  • drill into specific employees or teams

  • change the time period

  • request different formats (e.g. summaries, comparisons, charts, excel files)

  • explore trends or anomalies in more detail

“Identify employees with repeated late arrivals in the last month.”

What happens next:

  • The agent analyses attendance records

  • It compares actual clock-in times against schedules

  • It identifies employees with repeated lateness

  • It returns a list or summary of findings


Understanding how the HR Calendar agent works

The HR Calendar agent:
