Workflows: Configurations for Library Workflows (Admin)

Learn how to customise configurable Library workflows in Sense Automate before and after deployment.

Overview

Some Library workflows include Configurations, which allow administrators to customise certain aspects of a workflow’s behaviour without needing a separate version to be created.

These configurable options are applied during deployment and can also be updated later if needed.

Configurations make Library workflows more flexible, while the underlying workflow structure remains maintained by Sense.


Configuration availability

After installing a Library workflow from the Workflow Hub, it appears in:

Automate > Workflows

If the workflow includes configurable options, selecting Deploy opens a Configure workflow screen before deployment continues.

If no configuration is available for the workflow, the workflow deploys immediately.


Configure a workflow during deployment

  1. Go to Automate > Workflows

  2. Locate the workflow

  3. Open the More actions (…) menu

  4. Select Deploy

If the workflow includes configurable options, the Configure workflow screen appears.

Here, you can:

  • review each configurable field

  • keep the default values or adjust them as needed

Select Done to continue to deployment.

The workflow is then deployed and becomes active.


Understanding configurable fields

Each configurable option includes:

  • Default value
    A pre-filled value provided by the workflow, which can be used as-is or changed

  • Admin help text
    Guidance explaining what the field controls and how it should be completed

Depending on the workflow, configurable options may include:

  • email subject and body text

  • task names and descriptions

  • button labels

  • screen name and screen variant references

  • due date values

🖊️ Note: Some fields (such as Screen name or Screen variant) must match existing system values exactly.


Using tags in configurable fields

Some fields (typically email content or notifications) may support tags.

Tags are placeholders that automatically insert dynamic values when the workflow runs.

For example:

  • [Name] inserts the employee’s name

  • [DueDate] inserts the task due date

Tags allow you to personalise messages without needing to manually update content for each user.

  • Only specific fields support tags — this will be indicated in the admin help text

  • Tags must be entered exactly as shown (including brackets)

  • Not all fields allow tags


Using default values

All configurable workflows are provided with default values, allowing you to deploy them without making any changes.

You can:

  • accept all defaults and continue

  • change only selected fields

  • change all available fields

Use Reset all to default to restore all fields to their original values before deployment.


Edit configurations after deployment

You can update configuration settings at any time.

To do this:

  1. Go to Automate > Workflows

  2. Locate the workflow

  3. Open the More actions (…) menu

  4. Select Configurations

  5. After making changes select Done

🖊️ Note: Configuration changes affect future workflow behaviour only. Existing data or completed actions are not changed.


Key considerations

  • Not all Library workflows include configurable options

  • Configurations allow behaviour to be customised, not the underlying workflow structure

  • If you uninstall a workflow, all configurations are permanently lost

What are Configurations in Sense Automate?

Configurations are adjustable settings within certain Library workflows that allow administrators to customise workflow behaviour during or after deployment.


Do all Library workflows have Configurations?

No. Configurations are not currently available for all Library workflows.


Can I change configurations after a workflow is deployed?

Yes. You can edit configurations at any time, even after deployment, from Automate > Workflows. Click the More actions (...) menu for the workflow and select Configurations.


What happens if I uninstall a configurable workflow?

If you uninstall a configurable workflow, all configurations are permanently lost. If the workflow is reinstalled, it will revert to its default configuration.


Do configurations replace Custom workflows?

No, configurations do not replace Custom workflows. Configurations provide predefined customisation of Library workflows. Full customisation and workflow design is only available through Custom workflows (Enterprise tier).
