Using Face Recognition with Anviz FacePass / FaceDeep Devices

Register and use facial authentication for employee clocking on your Anviz device

Who this guide is for: Administrators managing employee clock-in using face recognition on Anviz devices

Platform: Anviz FacePass 7 Pro, FaceDeep 3 (and similar Anviz face recognition models)

Before You Begin

Ensure:

  • The device is showing as Connected in the Sense Clock Transactions Service > Devices tab

  • Employees are already synced from Sense HR

  • You have access to the employee (for face registration)

Overview

Face recognition allows employees to clock in and out using a registered facial profile.

This method is available on:

  • FacePass 7 Pro

  • FaceDeep 3

In this article, you will learn how to:

  • Register a face profile for an employee

  • Improve recognition accuracy

  • Test and confirm successful clocking

Biometric credentials must be enrolled directly on the clock device.

They cannot be pre-configured remotely and must be registered in person.


How Face Recognition Works

Employee created in Sense HR

↓

Employee synced to clock

↓

Face enrolled on device

↓

Employee scans face

↓

Clock event recorded and sent to Sense HR via the Sense Clock Transactions Service


Face Registration

Step 1: Access the Device Menu

  1. Wake the screen if required

  2. Tap the Settings icon (βš™οΈ) to access the menu

  3. Log in as administrator

πŸ–ŠοΈ Note: For all Anviz devices:

  • Default Admin ID is 0

  • Default Password is 12345

It is recommended that you change the default password.


Step 2: Open User Management

  1. Navigate to User / Users

  2. Use search or scroll to locate the employee

  3. Select the employee profile


Step 3: Register Face

  1. Select Register Face (or equivalent face enrolment option)

  2. Position the employee in front of the device camera

The device will begin capturing facial data.

Follow on-screen prompts to complete registration.

  • Ensure the face is clearly visible

  • Remove hats, sunglasses, or obstructions

  • Stand at the recommended distance from the device

  • Ensure lighting is consistent (changes in sunlight or lighting can impact face recognition

βœ… The device will confirm once the face is successfully registered.


Step 4: Exit to Main Screen

Tap Back to return to the main clock-in screen after registration is complete.


Step 5: Test Face Recognition

  1. Ask the employee to stand in front of the device

  2. Confirm the employee is recognised

  3. Confirm a clock event is recorded

Expected result:

  • Employee is recognised

  • Clock event is recorded

  • Event syncs automatically to Sense HR


Face Recognition Best Practices

To improve accuracy:

  • Ensure good lighting conditions

  • Avoid strong backlighting

  • Keep the camera lens clean

  • Maintain a consistent position when scanning

If recognition is inconsistent:

  • Re-enrol the face profile

  • Ensure full face visibility during registration


Important Behaviour

Biometrics are stored on the device

Face templates are stored locally on the clock.

πŸ–ŠοΈ Note: Biometric data is not stored by Sense HR.

Only a secure biometric template (a mathematical representation of facial features) is used β€” not an image or photo.


Credentials sync across clocks

If multiple clocks are installed and Sync employee updates to all clocks is enabled:

  • Face data enrolled on one clock is available on other connected clocks


Employees must exist before enrolment

Biometric data should not be registered unless the employee exists on the device.

If an employee does not exist:

  1. Go to Sense HR > People > [select profile]

  2. Click More actions (…)

  3. Select Anviz sync


Common Face Recognition Issues and How to Avoid Them

Face not recognised

Check:

  • Face was registered successfully

  • Employee is positioned correctly

  • Lighting conditions are suitable

Try re-enrolling the face.


Poor recognition accuracy

Possible causes:

  • Low lighting

  • Obstructions (glasses, hats)

  • Angle of approach

Recommendation:

  • Ensure full face visibility

  • Re-register in better lighting


Identical twins

Face recognition may be less reliable for identical twins.

Recommendation:

  • Use fingerprint or card authentication instead


When to Use Cards or Fingerprints Instead

Consider alternative authentication if:

  • Lighting conditions are poor

  • Employees wear face coverings (PPE masks are supported with FaceDeep and FacePass Pro devices)

  • Face recognition is inconsistent


Troubleshooting Face Recognition Issues

Employee not found on device

  • Confirm employee is synced from Sense HR

  • Use Anviz sync if required


No response from device

Check:

  • Device is powered on

  • Screen is active

  • User is enrolled


Events not appearing in Sense HR

  • Check Sense Clock Transactions Service is running

  • Wait 1–2 minutes

  • Confirm device is connected


When to Contact Support

Contact support if you have completed troubleshooting steps but:

  • Face enrolment still fails repeatedly

  • Multiple users cannot authenticate

  • Employees are missing from the device

  • Events are not appearing in Sense HR
