Introduction
This workflow operates similarly to the default Fit Note Required workflow, which triggers an email and task for the employee when a sickness requiring a fit note is added.
In this alternative version, the workflow only triggers if the sickness lasts more than seven consecutive days. Once the fit note is received, an email and task are sent to the employee and also their manager for completion.
Please make sure you have sicknesses set up to require a fit note, you can do this in the Events Manager.
How it works
1. Sickness is added
A sickness record is logged that requires a Fit Note.
2. Daily checks from the sickness start date.
The workflow checks the current state each day.
3. Check work pattern
Each day, the workflow checks the employee’s work pattern for “today”:
If today is a non-working day:
The workflow delays until tomorrow and checks again until a working day.
If today is a working day:
If the work pattern includes a start time, the workflow delays until two hours after the start time.
If no work pattern exists, the workflow delays until 11:00 AM.
4. Check for active sickness
From the delay after start time, the workflow checks if there is still a sickness record covering today:
If no sickness is active:
The workflow ends.
If sickness is still active and is not yet greater than 7 consecutive days:
Delays again until tomorrow (step 2).
If sickness is still active and is greater than 7 consecutive days:
It triggers the fit note reminder.
Fit note reminder process
Employee and manager receives both an email and a task letting them know a fit note is now required.
